What we collect
When you send an enquiry or quote request we collect your name, email address, phone number, business type and the details you include in your message. When you contact us by WhatsApp, phone or email we hold the information you share. Our website does not use advertising or analytics tracking cookies.
Why we use it (lawful basis)
- To respond to your enquiry and prepare a quote — legitimate interests / steps before a contract.
- To provide accountancy and tax services — performance of a contract.
- To meet anti-money laundering, tax and record-keeping duties — legal obligation.
Who we share it with
We share data only where needed: HMRC, Companies House and other regulators when acting for you; our supervisory body for anti-money laundering; and trusted IT, hosting and email providers acting on our instructions. We do not sell personal data.
International transfers
Some service providers may process data outside the UK. Where they do, we rely on UK adequacy regulations or appropriate safeguards such as the UK International Data Transfer Agreement.
How long we keep it
Enquiries that do not become clients are deleted within 24 months. Anti-money laundering identity and due-diligence records are kept for 5 years after the client relationship ends (Money Laundering Regulations 2017, regulation 40). Tax records are kept for the periods HMRC requires — for example, Self Assessment records for at least 5 years after the 31 January filing deadline and VAT records for 6 years — and then securely deleted.

You may request access, correction, erasure, restriction, portability, or object to processing. Email enquiries@kaplanaccountancy.com. If you are unhappy, you can complain to the Information Commissioner's Office (ico.org.uk, 0303 123 1113).
